SOUTHSIDE SADDLE CLUB
ARTICLE 1: STATEMENT OF PURPOSE
The Southside Saddle Club is a not for profit, community- based, family-oriented organization comprised of members and volunteers dedicated to education and skill development in all disciplines pertaining to equine activities.
ARTICLE 2: MEMBERSHIP
The membership of this club shall consist of regular members who have been admitted to the membership by the paying of non-refundable dues. Dues shall be as following.... $15.00 individual annually. Or $25.00 for entire family all of whom shall live under one roof. A copy of Southside Saddle Club by laws shall be available to all new members upon payment of annual dues.
*Section 2: If any member fails to pay his or her dues within 30 days after they are due, said member cannot vote or serve in office until his or her dues are paid.
*Section 3: Members must be 16 years of age in order to vote. Any member under 16 years of age must be under an adult’s supervision to attend and participate in all activities. Please note / does not have to be a parent but must have a consenting adult who will assume responsibility for the person under 16 yrs of age. These members shall be known as associate members. With the exception of voting privileges, associate members have all the rights and privileges of full members.
*Section 4: Members shall be required to attend and participate in a minimum of 3 full meetings or work days per year. The secretary shall keep attendance records for all members.
*Section 5: Due to Southside Saddle Club being a family oriented club and also due to liability issues, no alcohol will be allowed on Southside Saddle Club property and no alcohol shall be consumed by anyone participating in any mounted activity, including any trail rides sponsored by Southside Saddle Club.
ARTICLE 3: BOARD OF DIRECTORS
*Section 1: The club shall be governed by a board of directors consisting of 5 members who will be elected by the members and consist of 2 members holding 2 year terms, 2 members holding 3 year terms, and the past year’s president will hold a one year term. The current year’s president and secretary will attend the meetings of the Board.
*Section 2: The Board of Directors shall for the present time meet on an as-needed basis. As the need for meetings progresses, a set meeting time will be established.
*Section 3: The general membership shall operate the club in the arranging of all competition and projects, but they shall not be empowered to borrow money or to pledge the assets of the club without prior approval of the membership of the club by majority vote.
ARTICLE 4: OFFICERS
*Section 1: The officers of the club shall be President, Vice- President, Secretary, and Treasurer. They shall be elected by the club from the membership and shall not be absent for any consecutive meetings or a new officer will be elected. (Except in the case of extenuating circumstances, i.e.: family emergencies etc...of which the absent member shall notify the President or Vice President.)
*Section 2: The President: It shall be the duty of the President to preside at all meetings, to have general supervision of all the affairs and business of the club, and to execute through the Secretary all written contracts and agreements on the behalf of the club. The President shall also serve on the board of directors for one year after the conclusion of the elected term as President. The only time the president will vote will be in the case of a tie.
*Section 3: The Vice President in the absence of the President shall perform the duties of the President.
*Section 4: Secretary: The Secretary shall keep full and accurate minutes of all meetings of the club and board of director meetings, issue all members a copy of the by-laws upon request, and to issue statements to members and perform other duties as may be needed by the club.
*Section 5: Treasurer: The Treasurer will pay bills upon approval of the general membership, and preserve and keep all records of financial correspondence of the club. A written signature of the President of the club shall be obtained on each transaction as a back up requirement for the treasury. The records shall be open to review by members of Southside Saddle Club upon request.
ARTICLE 5: CLUB YEAR AND MEETINGS
*Section: The club year shall be the first day of January and go to the last day to include December 31 of the same year.
*Section 2: Decisions for the club can be made by a majority vote of the members present at any meeting called and held for decision-making.
*Section 3: Officers can be removed from office by a majority vote of the members present. Before such vote can be taken, a meeting must be held and a reason for removal must be presented by a member.
ARTICLE 6: AMENDMENTS OF BY-LAWS
* These by-laws may be amended by any annual meeting of the club, or at any special meeting called for that purpose by a majority vote of the members present.
*Section 1: All members of the Southside Saddle Club shall assume the agreement that they shall hold the Southside Saddle Club harmless from any claim resulting from accidental injury or death of any member or of any person, or of any person’s property including, but not limited to, their animals, vehicle or livestock trailer during any activity of the Southside Saddle Club. This agreement is subject to the laws of the state of Virginia.
